How a parcel invoice audit service works

Free guide · Updated October 4, 2026

You help a business review its carrier invoices, document potential billing discrepancies and pursue valid claims. The business pays you under the agreement you both sign.

1. Start with the evidence

With the client's authorization, request a recent carrier invoice export and the rate agreement that applies to those shipments. A shipment manifest can help with weight and dimension checks. Agree how to transfer, protect and delete the client's data before they send it.

The inputs matter. Without the applicable contract or shipment evidence, a suspicious charge may be impossible to substantiate.

2. Review candidates before making claims

ParcelAudit compares the imported data and flags possible discrepancies such as duplicate billing or differences between billed charges and supported contract rates. A flag is a candidate for review, not a confirmed refund.

  1. Check the source invoice rows and the applicable contract.
  2. Check whether the client already received a credit.
  3. Verify the carrier's current claim process, deadlines and exclusions for that shipment.
  4. Retain only findings supported by the available evidence.
  5. Submit or help the authorized client submit the claim and track the carrier's response.

Carrier rules and deadlines vary. The software does not submit claims automatically or guarantee the carrier will approve them.

3. Agree the commercial terms

One possible model is a contingency fee: you and the client agree a percentage of credits actually received. Define what counts as a recovery, when your fee becomes due and how credits will be verified. You can choose another fee model if both parties agree.

Illustration, not a forecast: if a client actually receives a $1,000 credit and your agreed fee is 25%, your gross fee is $250. That amount is before your expenses and taxes. Neither the credit nor the fee is a market benchmark, an expected result or a promise of earnings.

4. Run a small first pilot

  1. Practice with the software's synthetic demonstration files and learn to explain a finding.
  2. Choose a business whose supported carrier invoices you can review.
  3. Explain the scope, data requirements and proposed fee clearly.
  4. Obtain a signed engagement agreement and any necessary carrier authorization.
  5. Review one recent invoice period and return a report with evidence and unresolved questions.
  6. Track submitted claims, approved credits and the fee owed under your agreement.

Finding clients, obtaining usable data, reviewing exceptions and following up on claims all require work. Some reviews will produce no recoverable discrepancies.
